Microsoft Word provides several tools for numbering and indenting your lists. Indented lists depend on proper document settings and formats, so the listing can become disorganized during use. Word provides tools for fixing your lists if your numbers are out of order, the wrong combination of symbols are used or the indent spacing is off.

Paragraph Options

Access the general bullet point and number indent options in the Paragraph area of the Home tab on the Ribbon. You can indent your paragraph with bullet points, numbers or a combination of the two. You can also access the paragraph indentation options by highlighting and right-clicking on your indented text. Choose from the 'Bullets' or 'Numbering' option boxes to access the built-in indent formats. You can also remove your numbering by selecting 'none.'

Numbering Library

Word provides several options for numbering your indents including standard numbers, uppercase and lowercase roman numerals. You can choose from several built-in formats from the Numbering Library on the Home tab of the ribbon. Formats that already appear in the document are listed in the Document Number Formats area of the drop-down box. If your numbers are out of order, right-click the paragraph and select 'Continue Numbering' or 'Set Numbering Value.'

Indents

If your indents are too far to the left or right, you can correct their justification from the Paragraph area of the Home tab of the Ribbon. Click the 'Decrease Indent' or 'Increase Indent' button to move the number point to the left or right. If you are using a standard numbered format, the indented points may take the form of a letter, bullet point or roman numeral. Change the format by selecting a number-based Multilevel List.

Custom Format

Create a custom format by clicking the 'Define New Numbered Format' from the Number drop-down box on the Ribbon. Change the number style, font, format and alignment of your new numbered format on the option screen. Preview your new format as you make changes. Customize the space between your numbered list and the text by clicking the bottom right-hand corner of the Paragraph options. Change the values in the 'Indentation' drop-down boxes to set custom measurements.

Tab Goes Too Far In Word

Note: Depending on which text editor you're pasting into, you might have to add the italics to the site name.

Most of the time, I press Tab to indent the first line of a new paragraph. It's easy and I seldom write anything that requires more than just a few paragraphs. However, using Tab does introduce the potential for trouble. For example, if you combine two paragraphs, you have to delete the Tab at the beginning of the second paragraph. It's not a big deal in a short document, but those tabs can add up if you do some serious restructuring.

The truth is, Tab just isn't necessary. Instead, use Word's indent feature as follows:

Too
  1. From the Format menu, choose Paragraph.
  2. Click the Indents And Spacing tab.
  3. In the Indention section, select First Line from the Special control's drop-down list.
  4. Specify the size of the indention using the By control's drop-down list. Then, click OK to return to your document.

When you press Enter, Word assumes you're starting a new paragraph and automatically indents the first line. You don't have to press a thing. If you need to remove an indent for a single paragraph, just move the First Line Indent marker on the ruler for that paragraph.
